From one off campaigns to steady journeys

Most teams start with newsletters and launch emails. Over time it becomes clear that one off campaigns are not enough. New subscribers join and receive nothing for weeks. Trial users slip away without a nudge. Buyers never hear about how to get the most from what they purchased.

Our Email automation service is built to close those gaps. Instead of relying on someone to remember to send the right message, we design flows that react to what people actually do. Sign up, purchase, attend an event, abandon a step, reach an important milestone. Each of these can trigger a short, helpful sequence that keeps people moving.

Designing flows around real lifecycle stages

Good email automation mirrors the stages people naturally move through with your business. We start by mapping that lifecycle. For example, new subscriber, prospect, trial user, active customer, repeat customer or lapsed user. For each stage we ask what someone needs to know, feel and do next.

Typical flows include welcome or orientation sequences, onboarding and feature education, post purchase follow ups, re engagement touches and renewal or upsell prompts where appropriate. We keep each flow focused on a clear job so messages do not blur together or compete. The result is a set of journeys that feel like a guided path rather than a random trickle of emails.

Connecting website, product and CRM

Email automation does its best work when it talks to your other systems. We look at how your website, forms, product and CRM currently connect to your email platform. That includes sign up forms, gated content, checkout events, booking tools and custom events that reflect real behaviour.

Where needed, we tidy the way data flows between systems. That might mean standardising tags, using clearer custom fields or setting up simple integrations. The details depend on your stack, but the goal is the same. When someone does something important, your email platform knows about it and can respond in a measured way.

Automation that still feels human

There is a difference between helpful automation and noisy automation. We keep tone and pacing at the centre of the work. Flows are designed so that every email earns its place. Messages are written in plain language, explain why someone is receiving them and give an easy way to opt out of specific journeys if they stop being relevant.

We are also careful about overlaps. Someone should not receive a heavy sales sequence while they are in an onboarding flow for a different product, or be chased for a purchase while already in a renewal discussion. We use sensible rules, delays and exclusions so email automation supports relationships rather than straining them.

Using AI where it genuinely helps

AI can be useful in email automation when it is used with intention. For example, to summarise longer form content into shorter snippets, suggest subject line variations or personalise small parts of a message based on what someone has done.

If it fits your stack and comfort level, we can incorporate light AI assistance into your flows in a controlled way. That might be AI suggested follow up prompts for your team or dynamic content blocks that adjust to simple behaviours. We keep things transparent and easy to review so you can always see what is being sent and why.

Measured, documented and easy to change

Automations work best when you can see what they are doing. As we build flows, we document their purpose, triggers, timing and exit conditions. You get a simple view of each journey so new team members are not left guessing.

We also consider measurement from the start. For each flow we highlight which metrics matter most, such as activation rates, feature usage, repeat purchase rate or simple engagement. Over time we can adjust content, timing or branching based on what the numbers and your team are telling you, without ripping everything out and starting again.

A good fit for SaaS, services and ecommerce

This service suits teams who want their email channel to feel like a helpful extension of their product or service, not an afterthought. Whether you are running a SaaS product, agency, online service or ecommerce store, we design email automations that support how you already work and sell.

What you get

  • Lifecycle and flow map

A clear map of your key lifecycle stages and the email automations that will support each one, with notes on triggers and goals.

  • Email automation blueprint

Diagrams or structured notes that show how each flow starts, what messages are included, how branches behave and when people exit.

  • Platform configuration and integrations

Setup or refinement of connections between your website, product, CRM and email platform so events and fields are usable in flows.

  • Flow build and configuration

Implementation of agreed automations inside your chosen platform, including triggers, delays, conditions and simple personalisation.

  • Testing and quality checks

End to end testing of flows with sample contacts to confirm that triggers, timing, content and exits behave as expected.

  • Documentation and handover

Plain English documentation and short Loom walkthroughs so your team understands what each flow does and how to adjust it safely.

How we work

  1. Kickoff and discovery

We meet to understand your business model, lifecycle, current email activity and tools, then gather access and existing documentation.

  2. Mapping and prioritisation

We map your most important journeys, decide which automations to tackle first and design simple, focused flows for each one.

  3. Build and testing

We configure integrations, build flows in your email platform and test them with sample data, refining logic based on results and your feedback.

  4. Launch and iteration

We switch flows on, monitor early behaviour and partner with you to adjust content, timing or targeting so automations feel reliable and respectful.

Email automation FAQs

Contact us
  • Which email platforms do you support for automation?

We work with common email and CRM platforms that support automation features, alongside websites built in Webflow, Framer and WordPress. During discovery we review your current stack and confirm what is realistically in scope so we can design flows that fit.

  • How is this different from email sequence copywriting?

Email sequence copywriting focuses on the words and structure of specific sequences. Email automation focuses on the underlying flows, triggers, data and logic that send those emails at the right time. Many clients choose to combine both so content and automation are designed together.

  • Do you replace our existing automations or build on top of them?

It depends on what you already have. We can audit existing flows and decide what to keep, consolidate or retire. In some cases, a few careful adjustments are enough. In others, it is cleaner to rebuild with a simpler structure. We will be honest about which route makes more sense.

  • Will automation mean our subscribers get more emails?

Not necessarily. Often the opposite happens. By making flows more targeted and removing redundant overlaps, subscribers receive fewer but more relevant emails. We pay attention to pacing and exclusions so people are not overwhelmed.

  • Can you work with our internal marketing or RevOps team?

Yes. We are happy to collaborate with internal teams who own CRM, data or campaigns. We can take the lead on flow design while they handle deeper segmentation or reporting, or we can support them with implementation and documentation.

  • How do you handle consent and unsubscribe requirements?

We work within your existing consent and preference framework, making sure automations respect opt in status and provide clear ways to adjust preferences or unsubscribe. In regulated regions or industries, we are careful to align with your legal and compliance guidance.

  • What happens if our product or offers change later?

Automations should change with your business. Because we document flows clearly and keep them modular, it is easier to update messages, triggers or branches as offers, pricing or lifecycle stages evolve. If you continue working with us, we can handle those adjustments and make sure your email automation keeps pace.
